IHG Merlin Is a Workplace Gateway, Not One Giant Employee Application

IHG Merlin is part of the internal technology environment used by authorized IHG corporate personnel, hotel colleagues, contractors, vendors, and other approved users.

The most useful way to understand Merlin is as an access layer connecting an organizational identity to different IHG resources, rather than as one application containing payroll, benefits, hotel operations, travel, learning, and HR in a single database.

IHG’s own registration and support materials show a separate Network ID process, MyID administration, second-factor authentication, hotel-level account management, and different provisioning paths based on employment relationship.

Network ID Is the Identity Layer

IHG calls the organizational account a Network ID.

Its current registration instructions state that since September 17, 2023, a new hire cannot begin self-registration without first receiving an invitation code by email.

That is significant because many third-party articles still describe Merlin as though anyone can open a registration page and create an employee account.

They cannot.

The identity needs to originate from an authorized IHG or hotel relationship.

Account Provisioning Depends on Who Employs You

IHG publishes three different account paths.

For employees at franchised hotels and international IHG-managed hotels outside the United States and United Kingdom, the General Manager, IT Administrator, or Deputy GM is instructed to initiate the Network ID invitation process.

Corporate employees and employees at IHG-managed hotels in the U.S. and U.K. are told that they will receive a Network ID and temporary password before their start date.

Corporate contractors and vendors are told to work through their IHG corporate contact, who can create the Network ID through MyID.

The login looks similar after provisioning.

The employment and authorization path behind it is not.

MyID Is an Administration Layer

MyID appears repeatedly in IHG’s current documentation.

It is used for functions such as creating certain Network IDs, managing Active Directory account access, and re-enabling eligible accounts through authorized hotel administrators.

This is why “Merlin account,” “MyID account,” and “Network ID” sometimes appear mixed together in employee conversations.

They describe related pieces of the same identity ecosystem, but they are not necessarily identical interfaces.

MyHR Owns Different Functions

MyHR is another layer.

IHG’s current Internal Careers documentation says colleagues with MyHR access can sign in and choose the Current Jobs icon to search and apply for internal positions.

Colleagues without MyHR access use the external career site and mark themselves as a current IHG employee.

A valid Merlin Network ID therefore should not be treated as proof of MyHR access.

That distinction is particularly relevant to franchised-hotel colleagues.

IHG One Rewards Is a Public Loyalty Account

One Rewards serves hotel guests and members.

It manages reservations, points, loyalty status, and public membership functions.

A colleague can have both:

an IHG Network ID

and

an IHG One Rewards account

The identities meet when colleague travel benefits are activated.

IHG’s Employee Room Benefit Programme requires a One Rewards member number and explains that employees may connect the member number with their Merlin identity or receive manager validation through the applicable process.

The loyalty account does not become a Merlin account because the two are linked.

One Pass Adds the Colleague Travel Layer

IHG launched One Pass in 2025.

Its public program page describes colleague and pass-holder rates, booking through IHG.com or the One Rewards app, annual booking limits, qualifying stays, and conduct rules.

The colleague’s employment eligibility enables the travel benefit.

The One Rewards account is used for the booking relationship.

Merlin/MyID can participate in validating that employment-based eligibility.

Merlin Also Supports Hotel Operations

Current IHG Procurement pages are branded as part of IHG Merlin and distinguish between hotel-user and supplier access.

A hotel user can encounter procurement programs dealing with construction, openings, renovations, hotel operations, and market-specific purchasing resources.

Older public IHG reporting documentation also referenced operational reports being reached through Merlin, although specific report structures should not be assumed current merely because the older document remains available.

This reinforces that Merlin is broader than an employee-benefits portal.

Successful Login Does Not Equal Application Access

A Network ID proves identity.

An application entitlement determines whether that identity can use a particular resource.

A colleague can therefore:

sign in successfully;

see Merlin;

and still lack one specific application.

Resetting the password in that situation does not automatically add the missing entitlement.

This is one of the most useful distinctions in Merlin troubleshooting.

Authentication Has Its Own Failure States

IHG’s support material separately describes:

  • forgotten passwords;
  • accounts locked after repeated password failures;
  • authenticator locks;
  • disabled accounts;
  • account re-enablement;
  • support escalation.

The exact failure message matters.

Repeated password resets are a poor solution when the missing layer is MFA, provisioning, or authorization.

Franchise Employees Create a Special Identity Question

IHG’s Annual Report states that it does not employ colleagues at franchised hotels and does not control those hotels’ day-to-day operations, policies, or procedures. Franchising represented 73% of IHG’s system rooms in the 2025 Annual Report.

Yet eligible franchise-hotel employees can use IHG systems and participate in programs such as employee travel.

This is why “I have a Merlin ID, therefore I am an IHG corporate employee” is not a safe assumption.

System access and legal employment are different concepts.

A Practical IHG System Map

Use this structure:

Network ID
Institutional workplace identity.

MyID
Identity and access administration.

Merlin
Workplace gateway and application environment.

MyHR
HR and selected internal-career functions for users who have access.

IHG One Rewards
Public loyalty membership and booking account.

Employee Room Benefit / IHG One Pass
Employment-based travel benefit connected with One Rewards.

IHG Procurement and other hotel systems
Operational applications with separate role and permission requirements.

Global Support / hotel administrator
Account and application support.

That model is more durable than memorizing one Merlin homepage layout.
