IHG’s colleague travel system connects two identities that serve different purposes.
The Merlin/Network ID side represents workplace access and employment-related eligibility.
The IHG One Rewards side handles the actual loyalty account and hotel booking relationship.
IHG’s Employee Room Benefit Programme says an eligible colleague needs a One Rewards member number. If that number has already been linked to the Merlin ID, or if the manager has activated eligibility through the relevant process, the colleague can proceed to employee-rate booking.
You Need an IHG One Rewards Member Number
The employee room benefit is not booked by entering a Network ID into a hotel reservation form.
IHG tells employees to use their One Rewards membership.
The colleague’s employment status establishes eligibility.
The loyalty account is then used for travel.
Merlin Can Link the Employment and Loyalty Records
IHG’s employee benefit page explicitly refers to linking the One Rewards number to the Merlin ID.
That link explains why an employee may have:
a working Merlin account;
a working One Rewards account;
but no employee rate.
The missing record may be the eligibility relationship between them.
Employees Without Merlin Can Still Have a Route
IHG’s current benefit page also says that a manager can validate a One Rewards member number for eligible employees who do not have a Merlin ID.
This is especially important in the franchise ecosystem.
Merlin is useful, but the travel program was designed to support eligible colleague groups whose technology relationship with IHG can differ.
Reservations Are Made Through IHG Travel Channels
IHG says employee-rate rooms should be booked through IHG.com or the IHG mobile app rather than through the call center route described for ordinary reservations.
That is another reason not to build a fake “Merlin employee booking” page.
Merlin can support eligibility.
The hotel reservation lives in IHG’s consumer booking ecosystem.
IHG One Pass Expanded the Travel Program
IHG’s 2025 Annual Report says the company launched IHG One Pass in 2025 as an exclusive colleague travel benefit that strengthened its existing employee-room-rate offering.
The current One Pass page describes:
- colleague and pass-holder rates;
- booking through the One Rewards app or IHG.com;
- qualifying stays;
- friends and family participation;
- booking limits;
- conduct requirements.
Older employee-rate tutorials may not reflect the newer program structure.
Current One Pass Limits Matter
IHG’s public One Pass page currently says Plus Ones share a 30-night annual limit and Friends share a 50-night annual limit under the respective rates. It also states that reservations can include up to two rooms per night for each program rate and that stays cannot exceed seven nights.
These are time-sensitive program rules.
Use the current IHG page before booking rather than relying on an old blog post.
One Pass Stays Can Be Elite Qualifying
IHG currently states that One Pass program rates are Elite qualifying, meaning eligible stays can earn One Rewards points and count toward status and Milestone Rewards.
That connects employee travel with the public loyalty program without turning the two programs into the same account.
Identification and Conduct Rules Apply
IHG’s One Pass terms require the applicable pass holder to comply with program conditions, including identity requirements and conduct standards. IHG also reserves rights to suspend or revoke program benefits for misuse.
A discount is therefore tied to eligibility and policy, not just possession of a booking link.
Franchise Employees Can Be Eligible
IHG’s Employee Rate terms explicitly include eligible full-time and part-time employees of third-party franchisees working at IHG-branded hotels.
That is a useful example of the difference between:
being employed by IHG
and
being eligible for an IHG system-wide colleague program.
The two concepts overlap but are not identical.
If the Employee Rate Is Missing
Check the workflow in order:
- Is the colleague currently eligible?
- Is there a valid One Rewards membership?
- Has employment eligibility been linked or validated?
- Is the user signed into the correct One Rewards account?
- Is the program rate available for that hotel and date?
- Are current One Pass restrictions being followed?
Do not reset a Merlin password simply because a travel rate is unavailable.
